Move over Excel!

Sean Foote

Modern times require modern solutions. Excel, an industry workhorse for decades, has played a pivotal role in data management and analysis. However, its age is showing in a rapidly evolving digital landscape.

Companies leveraging data for decision-making, like Netflix, Facebook, and Google, are outperforming others. Microsoft’s development of tools like Power BI and PowerApps is democratizing data access, allowing anyone in an organization to collect and analyze data. Previously, only certain processes justified investment in apps or dashboards. Now, these tools’ simplification and accessibility mean a wider audience can author and consume data, even on mobile.

One of my favorite aspects of Power BI is the "wow" moments it brings. When someone first sees how a visual can filter other visuals, they're often amazed, asking, "How did you do that?!" Demonstrating the ease of creating new visuals or modifying existing ones makes it seem almost too good to be true. While Excel can create charts, they are often underused due to their limitations. Most people analyze data by sifting through rows in tables, using magnifying glasses and calculators due to the static nature of spreadsheet data. In contrast, Power BI allows you to click on a filter and instantly reveal trends. This is just the start. The race for AI integration and other tools to analyze and push important information is transforming the industry. Remember, your decisions are only as good as your data, emphasizing the importance of effective data collection methods.

Data entry in Excel, with its challenges in validation and conditional formatting, often falls short. Copy and Paste in Excel can disrupt formulas, formatting, and validation. Shared Excel Workbooks for data entry frequently suffer from "dirty" data – incorrect information in wrong columns. While solutions like VBA and Access exist, we now have better, cloud-optimized, and mobile-friendly alternatives.

From a data entry standpoint, I love using Copy and Paste, but in Excel, that can ruin formulas, formatting, data validation, you name it! I haven't found a shared Excel Workbook that allows multiple people to enter data that isn't ruined with "dirty" data (wrong information in the wrong columns). Of course you can get deep into VBA or Access and create some great forms to make your database, but we have better alternatives these days that are made for the cloud and mobile. Not only can they look better, but they are fast and easy too!

The Low Code Application Platform Gartner Magic Quadrant Report highlights the shift in data consumption. Your business needs tools for efficient data collection and analysis. Why wait? It's time to move beyond Excel. Start building apps and dashboards using Microsoft PowerApps and Power BI. These platforms offer real-time data analytics, customizable dashboards, and seamless integration with other Microsoft services, providing a significant advantage over traditional tools.

Let’s explore specific features where Power BI and PowerApps excel:

  • Real-time Analytics: Unlike Excel’s static reports, Power BI provides real-time updates, giving you the latest insights.

  • Customizable Dashboards: Tailor your dashboard to meet specific business needs, a feature not as developed in Excel.

  • Seamless Integration: Power BI and PowerApps integrate effortlessly with other Microsoft services, enhancing productivity and collaboration.

The future is bright with AI’s role in data analysis. Power BI's AI capabilities are already shaping more intuitive and predictive data insights, leading the way in data-driven decision-making. Additionally, Microsoft Co-Pilot will integrate with all of these tools and data sources. Any investment you make in upgrading your systems and processes will continue to pay back as the technology grows.

In conclusion, the transition from traditional tools like Excel to more dynamic and comprehensive solutions like Power BI and PowerApps is not just a trend; it's a necessary evolution in the way we handle data. It's an exciting time in the industry, and embracing these advancements is key to staying ahead.
